Summary

The Fleet Data Coordinator supports the Fleet Services department in several areas including maintaining car specification data, document management, and customer service.

Duties and Responsibilities

To perform this job successfully an individual must be able to perform the following essential duties satisfactorily. Other duties may be assigned to address business needs and changing business practices.

  • Manages shared MS Outlook mailbox to ensure all incoming requests are answered timely and indexed in various subfolders per standard operating procedure

  • Registers new railcar builds - reviews build specification and specialty list and performs initial registration of all required information

  • Assign new railcar mark and numbers for new car builds and remark projects

  • Resolves high volume of data conflicts within Railinc Umler across all Greenbrier managed marks

  • Reconciles cars in Railinc OT-57 system to internal systems to ensure customer fleets are compliant under OT-57 Loading Authority guidelines

  • Prepares pre- and post-closing reports and system updates within Railinc Umler under tight deadlines

  • Enters data daily into Railinc car specification database (Umler) with detailed car specification information

  • Files electronic documents in SharePoint directory

  • Reconciles customer fleet lists and runs various reports and data processes per standard operating procedures

  • Responds to internal and external email requests for database updates

  • Proactive data management – ensure that all information is being received for all active production projects

  • Provides support as needed including but not limited to data entry, electronic filing, document management and ad hoc requests

Qualifications

The following generally describes requirements to successfully perform the assigned duties.

Minimum Qualifications

  • Bachelor’s degree or 3+ years relevant rail experience

  • Prior data entry experience

  • Customer service experience

Preferred Qualifications

  • Ability to organize and prioritize multiple projects concurrently with accuracy

  • Accurate typing and data entry skills

  • General knowledge of all railcar types and associated components, and the aptitude to learn industry rules

  • Familiarity with railcar specification documents and general arrangement drawings

  • Ability to work independently

  • Ability to identify, plan, start, and complete projects or other work that needs to be accomplished

  • Ability to communicate professionally, both verbally and in writing, at all levels

  • Ability to learn new software tools

  • Proficient in Microsoft Excel

  • Experience with Microsoft Access and Power BI

This is a hybrid position in our Lake Oswego, Oregon office. The majority of time in this position will be in an office environment. Occasionally required to be in a plant or shop environment, which will require the use of PPE equipment as environmental conditions dictate.
